# Sharing & Access

> Give teammates access to your work, choose what they can do with it, and see who already has it.

## What it does

Sharing controls who can see your work and what they can do with it. You share with named people in your organization, and each person gets a level of access you choose.

There are no public links. Everything is shared with specific people, which means access is always something you can see and take back.

## Sharing something

<Steps>
  <Step title="Open the share dialog">
    Choose **Share** on the item you want to share. On a report it sits in the top bar, next to the faces of the people who already have access.
  </Step>

  <Step title="Pick the people">
    Start typing a name or email in **Invite by email**, then choose people from the list. You can add several at once.
  </Step>

  <Step title="Share it">
    Choose **Share**. Each person is added at **Viewer** level to start with.
  </Step>

  <Step title="Adjust what they can do">
    Change anyone's level in the list beside their name, or remove their access entirely.
  </Step>
</Steps>

<Note>
  You can only share with people who are already in your organization. If someone does not appear in the list, an admin needs to invite them first in **Settings**, under People.
</Note>

## Levels of access

* **Viewer** can see the item but not change it. This is what new people get by default.
* **Editor** can make changes, and can share the item with others.
* **Admin** is held automatically by your organization's admins across everything.

Anyone at Editor level or above can share an item. If you only have view access, you will not see a Share option.

## Who already has access

The share dialog shows two lists. **People with access** are those who were given it directly. **Inherited access** covers people who have it another way, such as through a parent folder, and those entries are managed where the access originates rather than on the item itself.

## What the other person sees

When you share something, the other person is notified in Pluvo and by email, with a link to open it. Both of those respect their own notification preferences, so someone who has turned off sharing emails will still see it in their Inbox.

## Tips

<Tip>
  Share at **Viewer** unless someone genuinely needs to change the work. You can always raise it later, and it keeps a published report from being edited by accident.
</Tip>

<Tip>
  Before you share a report widely, publish it. Publishing pins the version people see, so they are not reading a draft you are still working on.
